Engineers in Scrubs (EiS) Graduate Student Awards

Award Description

The Engineers in Scrubs (EiS) program is a graduate training program funded from an NSERC CREATE grant that the BME program won in spring 2011. Full and Supplemental Awards are offered for incoming BME graduate students who will start their studies in September 2013 (students who have applied to a conventional department may be nominated, but they must register in the BME program to take up the award). There are also Affiliate Awards for non-BME students whose are doing clinically oriented research. Professors may nominate a candidate and learn the result prior to making an offer of admission (i.e. – admission can be conditional on winning an award).

Full Awards (up to 9 available – nominally 7 MASc & 2PhD)

$17,000 for Year 1 of BME MASc EiS program + $1000 supplement in Year 2

$20,000 for Year 1 of BME PhD EiS program + $2000 supplement for Years 2-4

Supervising professors are required to commit themselves to providing research assistantship funding following the 1st year (+1 year for MASc, +3 years for PhD)

Professors are encouraged to supplement these awards to match departmental norms

Supplemental Awards for Entering Students Holding Major Fellowships (up to 3 available)

$1000 for entering BME MASc EiS students; – these awards are renewable once

$2000 for entering BME PhD EiS students; – these awards are renewable up to three times

Affiliate Awards (up to 2 available):

Same terms as Supplemental Awards, but open to students who are enrolling in departmental MASc and PhD programs and who are doing clinically-oriented biomedical engineering research (defined by having a clinical co-supervisor for their thesis research).

Note: there will be a combined total of at least 3 Supplemental & Affiliate Awards available.

Program Implementation Plan

The three core courses comprising the EiS curriculum (required of all awardees) are:

BMEG 500 Introduction to Clinical Environment (1 credit)

BMEG 501 Supervised Medical Device Design Project (3 credits)

BMEG 590 Professional Development Workshop (1 credit)

Supervisors who nominate students for Engineers-in-Scrubs awards will be expected to contribute to offering these courses. Please note that these courses are not lecture-based; rather, they are run more as organized experiences and discussions, so the participating professors will mainly play an organizational and mentorship role. Supervisors of students winning full awards will be expected to play a more significant role than supervisors of students winning supplemental or affiliate awards. Please contact Antony Hodgson if you have any questions or concerns about expectations of nominating professors.

Application Timeline

Nominations will be accepted until 9 AM, Thursday, February 28th, 2013. All nominating professors will be invited to an application review meeting in the following week and will be asked to rank some or all of the applicants they did not nominate (to avoid conflicts of interest). Offers will be made to the top-ranked candidates during the week of March 11th, 2013. Awardees will have two weeks after receiving their offer to decide whether to accept or decline, (requests for extensions may be submitted to eisadmin@bme.ubc.ca). Any unaccepted awards will be offered in order, to the remaining candidates on the list.
Supervisors of students who did not receive an award may request that their nominees participate in the EiS program activities; – in such cases, supervisors will be expected to fulfill the same obligations as supervisors of students winning supplemental or affiliate awards.

External Awards

In a graduate research-based program, the enrolment number is dependent on the number of research projects being funded through individual faculty member’s funding applications. Funding for research is usually a combination of government grants, health unit contracts, and/or private company sponsorship.

To be recommended for admission, students must have a confirmed supervisor with stipend funding or have been awarded an external scholarship (such as the Commonwealth or NSERC Postgraduate Scholarship) that covers tuition and living expenses.

Students who have a first-class average are expected to apply in September for NSERC Postgraduate Scholarships awarded for the following year.

International students in the Master of Applied Science program are awarded the International Partial Tuition Scholarship. Students who have been awarded an external scholarship that covers tuition are not eligible for these awards.

OVERVIEW

BMEG 554 students are required to submit a technical report, an oral presentation, a poster presentation (including a 2-page technical brief) and a web abstract. All students should have both a worksite advisor and an academic supervisor. Please contact the program administrator immediately if you have not identified an academic supervisor. All marks are assigned directly by the academic supervisor in consultation with the worksite supervisor.

INSTRUCTIONS FOR STUDENTS

Discuss with your academic and worksite supervisors the most appropriate venue for your oral and poster presentations. Typically, the worksite will be the best location for your oral presentation and UBC will be the best location for your poster presentation. Please note that if your project supervisor is concerned about confidentiality issues, please discuss the situation with the course co-ordinator (Dr. Hodgson). You will still be required to create a poster, but it will typically be presented only to people within the sponsoring organization.

September Welcome Event: to present your poster at the September Welcome Event (Thursday, September 6, 2012), please do the following:

Notify the Program Administrator (admin@bme.ubc.ca) of your intent to participate as soon as possible (and no later than August 31, if at all possible)

Prepare your poster (recommended size is 60 cm x 90 cm, either orientation, but we will accept any size if you have prepared a poster for another purpose (e.g., your worksite has a standard format, you’ve presented your work at a conference, etc.)

If you require a grade prior to the end of August (e.g., so that you do not have to register for the fall term), submit the electronic version of your poster as soon as possible to your academic supervisor so that they may assign a grade in time

Arrange for your poster to be printed – we will cover the costs of printing your poster if you submit a print-ready PowerPoint file to the Program Administrator (admin@bme.ubc.ca) with sufficient notice (likely deadline will be 9 am, Friday, August 31, 2012). The administrator will bring your poster to the event

If you have had your poster printed independently, please either drop it off with the program administrator the day before the event or bring it directly to the event at least 15 minutes in advance so that you can mount it

Please prepare a two-page technical brief in the style of a conference paper to be handed out at the poster presentation; please make ~20 double-sided copies

Prepare a short (~200 word) description of your project (together with a suitable photo) for use on the BME program web page. Submit this directly to the program administrator.

INSTRUCTIONS FOR ACADEMIC SUPERVISORS

You are responsible for assigning a mark for your student’s work, in consultation with the student’s worksite supervisor. Please assign a percentage grade to the following components (with the following suggested weights):

Technical Report – 70%

Oral Presentation – 15% (if you are unable to attend the oral presentation, please ask the worksite supervisor to recommend a mark)

Poster – 10%

Technical Brief – 5%

Web Summary – required, but not marked

If you wish to alter the weightings, please feel free to do so after discussing with the student. When you have marked the student’s work, please send the marks to the Program Administrator (admin@bme.ubc.ca), along with a brief paragraph describing your impression of how the work term went. In particular, please comment briefly on the worksite supervisor’s impressions, identify any difficulties or concerns you have noted, and, if there is any ambiguity about what the student’s contribution was to joint work, please discuss with the course coordinator (Dr. Hodgson). If a report covers work done jointly with another student, please contact the other student’s academic supervisor to discuss how to mark the joint submission.

INSTRUCTIONS FOR WORKSITE SUPERVISORS

Thank you very much for providing this opportunity for our students. We request that you submit the following to the program administrator and the academic supervisor (admin@bme.ubc.ca):

A final memo outlining the student’s work, progress, and performance and certifying that the report describes work done by the student.

(Optional) Comments on and a grade recommendation for the technical report. Please note that the final mark will be assigned by the academic supervisor.

If the academic supervisor was unable to attend the oral presentation, please submit a grade recommendation.

If you have any questions, please contact the course coordinator (ahodgson@mech.ubc.ca).
